Full classes, and members who come back

Classes showed as full while the waitlist sat untouched and two bikes stood empty. Membership enquiries arrived at 10pm and were answered at 10am, by which time the prospect had joined somewhere else. Members who stopped coming were noticed when their payment failed. The studio wanted every class full, every enquiry answered and lapsed members noticed early.

What we built

Three agents built on the studio's booking platform and payment system, with membership pricing and cancellation terms handled by a person and the agents doing the reaching out.

Waitlist agentWhen a spot opens, it offers it to the waitlist in order and confirms the first yes, right up to fifteen minutes before class, so a cancelled bike is a filled bike.
Reception agentAnswers membership and class enquiries on Instagram, the website and WhatsApp within minutes, at any hour, books the intro class, and passes anything about contracts or cancellations to the studio manager.
Win-back agentNotices when a regular has not booked in ten days, sends a message in the instructor's voice, and offers a class they used to love. Members who reply with a problem go to the manager.

How it went live

The booking platform already tracked attendance, waitlists and memberships, so the agents started with real history. The studio manager wrote the tone guide in an afternoon, with a line she was firm about: nothing about money or leaving is handled by an agent. The reception agent ran with her reading replies for a week; the win-back agent sent its first messages in week two, to twenty members she chose, before it was let loose on the rest.

What changed

Classes run at 96% of capacity because every cancelled spot is offered and taken. Enquiries at 10pm get an answer at 10:01pm and an intro class booked, and the studio converts more of them. Members who drift are messaged before they cancel, and about a third of them come back within a fortnight. The studio manager reads a Monday summary of who was reached out to and who replied.

The late checkout question, answered at 2am

Guests messaged through the booking sites, WhatsApp and the website at all hours: parking, late checkout, allergies, a taxi at six. The owner answered from bed or the guest waited until breakfast. Cancelled rooms went unsold and the review request never got sent. They wanted every guest answered, every room sold and the owner asleep.
